Summary:
This position will be responsible for select administrative support for the Planning & Development Services Department. Most of the Temporary Administrative Assistant’s time will be dedicated to supporting the Planning & Development team as requested, and to the Land File Management Project, which involves the overhaul of filing for planning and development-related documents. 

Hours of Work:  
Monday to Friday, 8:30 a.m. to 4:30 p.m. 

6-months term 

Salary:
Starting at $73,094.40 

Duties and Responsibilities:

  • General filing, data entry, acquiring additional supporting information including land title and spatial information, requesting invoices, and other related documents as required. 

  • Filing of correspondence in Development Permit and Subdivision files, administrative filing system, and Land Files. 

  • File retrieval from archives more miscellaneous planning requests. 

  • Complete training to become back-up Recording Secretary developing meeting minutes for the Municipal Planning Commission and Heritage Resource Committee meetings. 

  • Land File Management Project duties include: 

    • Review the current Planning & Development Hardcopy File Management System; 

    • Collaborate with the Director of Planning and Development Services to determine the options for the new Planning & Development Hardcopy File Management System; 

    • Implement the recommended path forwards on the Planning & Development Hardcopy File Management System; and 

    • Commence and Complete digitization [scanning and electronic filing] of the Planning & Development Hardcopy File Management System in the new Records Management System. 

  • Assist the Planning & Development Administrative Assistant with regular mailouts for Development Permit, Subdivision, and Project mailouts. 

  • Assist Corporate & Community Services with the annual mailouts of property assessment and taxation notices. 

  • Supports Planning & Development projects by booking venues and arranging refreshments for Open Houses and other stakeholder and public consultation activities. 

  • Responds to inquiries and information requests from members of the public and municipal staff, while referring more complex matters to other Planning & Development staff as required. 

  • Assists with the research and analysis of regulations, procedures, and statistics, and prepare reports as directed by the Director of Planning and Development Services as required. 

  • Performs other duties as assigned by the Director of Planning & Development Services. 

    Qualifications:

  • Three (3) years of experience in a related field or position – is desirable. 

  • Excellent organizational skills are required. 

  • Demonstrated proficiency in applicable computer programs (for example: Microsoft 365, Adobe Creative Suite, YouTube Streaming Software, website management, planning and development software, and/or an ability to master new programs quickly, as required. 

  • Experience working with municipal records management software – considered an asset. 

  • Excellent data collection, research, analytical and problem-solving skills with strong attention to quality and detail. 

  • Excellent written and verbal communication while maintaining privacy and decorum when required. 

  • Able to work independently, with limited supervision. 

  • First Aid Certificate – considered an asset. 

  • Valid Class 5 driver’s licence.
